Privacy Policy

Last updated: October 21, 2025

We take your privacy seriously. This document explains how we collect, use, and protect your information when you work with us or visit our site.

Look, we're architects, not data miners

Here's the honest truth about what we do with your info. We're not selling it, we're not hoarding it, and we're definitely not doing anything sketchy with it. Running an architecture firm means we collect some data - it's just part of doing business properly - but we keep things straightforward and transparent.

What information we actually collect

When you reach out to us or hire us for a project, we're gonna need some basic stuff to get the job done right:

  • Contact details - Your name, email, phone number. Pretty standard stuff so we can actually talk to you about your project.
  • Project information - Property addresses, site details, your design preferences, budget ranges. Can't design your dream space without knowing what you're dreaming about, right?
  • Financial info - Payment details when we're handling transactions. We use secure processors for this - we're not storing credit card numbers on a sticky note.
  • Website data - IP addresses, browser types, pages you visit. Basic analytics stuff that helps us understand if our website's actually working properly.
  • Communication records - Emails, meeting notes, project correspondence. We keep these for reference and to make sure nothing falls through the cracks.

How we use your information

We're using your info to do the actual work you're hiring us for. That means:

  • → Designing and managing your architectural projects
  • → Communicating with you about timelines, changes, updates
  • → Processing payments and handling contracts
  • → Meeting legal requirements and building codes
  • → Improving our services based on what's working and what's not
  • → Sending you relevant updates about your project (we're not spamming you with random marketing emails)

Who sees your information

We don't sell your data. Period. But sometimes we gotta share certain info to get your project done:

Project partners

Engineers, contractors, consultants - the folks who help bring designs to life. They only get what's relevant to their part of the job.

Government agencies

Building departments, zoning boards - the permit people. They need certain info to approve projects. It's just how the system works.

Service providers

Cloud storage, email services, payment processors - the tech that keeps our office running. We pick providers who take security seriously.

Legal requirements

If we're legally required to disclose something (court orders, regulatory stuff), we'll comply. But we'll let you know unless we're prohibited from doing so.

Keeping your data safe

We've got reasonable security measures in place - encrypted connections, secure servers, access controls. Our team's trained on data protection, and we're not leaving files lying around. That said, no system's 100% bulletproof, and we can't guarantee absolute security (anyone who does is lying). But we're doing our due diligence to protect your stuff.

How long we keep your information

We keep project files and related info for as long as legally required - usually around 7 years after project completion here in Canada. This protects both of us if questions come up down the road about design decisions, permits, or warranties. After that period, we securely delete or anonymize the data unless there's a legitimate reason to keep it longer.

Your rights regarding your data

You've got rights when it comes to your personal info. Here's what you can do:

  • Access: Ask us what info we have about you
  • Correction: Tell us if something's wrong and we'll fix it
  • Deletion: Request we delete your data (with some exceptions for legal requirements)
  • Objection: Object to certain uses of your data
  • Portability: Get a copy of your data in a usable format
  • Withdraw consent: Change your mind about how we use your info

Just shoot us an email at info@emberfallrealm.info and we'll help you out.

Cookies and website tracking

Our website uses cookies - those little files that remember you've been here before. We use them for basic stuff like keeping you logged in and understanding which pages people actually look at. You can disable cookies in your browser settings, though some parts of the site might not work as smoothly. We're not using cookies to build some creepy profile of you - just trying to make the site work better.

Third-party links

Sometimes we link to other websites - suppliers, building product manufacturers, inspiration galleries. Once you click through to someone else's site, you're dealing with their privacy policies, not ours. We try to only link to reputable sites, but we can't control what they do with your data.

Changes to this policy

We might update this policy occasionally - usually when laws change or we adjust how we operate. When we make significant changes, we'll let active clients know directly and update the date at the top of this page. It's worth checking back every now and then if you're curious.

Kids' privacy

Our services aren't directed at anyone under 18, and we don't knowingly collect information from minors. If you're a parent and think we've somehow collected data from your kid, let us know and we'll delete it ASAP.

Questions or concerns?

If something in this policy doesn't make sense, or you've got concerns about how we're handling your info, just reach out. We're happy to talk through it.
